Key Objectives/Principal Accountabilities
a. Key Objective of Position
Under minimal supervision, provides secretarial and administrative support services for the Managing Director.  Ensures the most efficient use of Managing Director’s time.   Anticipates, initiates, coordinates and follows up on administrative activities and other special projects.  Position will have access to and regularly work with information of the most sensitive, highly confidential, strategic and critical in nature.  The scope and complexity of this position is such that assistant is regularly dealing with diverse matters which require extensive knowledge of MD’s area of responsibility globally.
b. Principal accountabilities
- Prepares agenda and/or schedule of MD’s key meetings based on business priorities.

- Schedules appointments where necessary without prior clearance.

- Initiates, establishes and communicates key meetings on behalf of MD.

- Prepares and coordinates agendas.  Ensures meetings progress according to schedule. Responsible for timely issuance of meeting minutes and follows up on meeting action items as necessary.

- Anticipates, prepares and compiles materials for meetings on own initiative and reviews material for desired format, conformance with procedures, internal consistency and ensure MD’s approval is obtained before releasing correspondence when approval is appropriate.

- Works with MD to ensure an appropriate balance of internal and external profile is maintained, e.g. balancing internal management activities with a schedule of plant, customer and external relations activities.

- In MD’s absence, coordinate timely communication of requests, issues, complaints, problems and other actions to the appropriate manager.

- Coordinates all travel to include air, ground transportation and hotel accommodations

- Responsible to ensure MD’s expenses are appropriately accounted for and submitted for approvals.

a. Theoretical qualifications and practical experience
- 10 years’ experience, BA degree preferred.

- Must be task oriented with an excellent sense of priority, logic and objectivity. 

- Demonstrated ability to use discretion and make sound judgments.

- Highly organized, flexible and capable of handling sensitive and important issues simultaneously.

- Must be proficient in various PC based software to include MS Office and Outlook.

- Excellent  verbal , written and interpersonal skills.

- As a representative of the MD, must possess an ability to work independently and with all levels and functions within the organization.

- Four (4+) multiple years of experience supporting a global team in a highly matrixed environment 

-  Broad experience handling complex international travel requirements.
